ONBOARDING PACKAGE · SUPPLIER CENTRAL

Supplier Onboarding Package

List your catalog once and receive real purchase orders from the OCSAPP network. Here are the steps, what to prepare, the plans and how a purchase order works.

Version October 2026For: suppliersStatus: beta

1.Welcome to OCSAPP

OCSAPP is a Quebec ecosystem connecting suppliers, sellers, businesses and buyers. As a supplier, you list your catalog, receive purchase orders from the network and follow their fulfillment from one portal. The ODA driver network picks up from your dock and handles the last mile.

2.Your journey in 5 steps

1. Submit your application. During beta, use the personal link in your invitation email, with the email address the invitation was sent to. Enter your contact details, business, NEQ, registered address and plan.

2. Review (1-3 business days). You can log in to the portal during review, with limited access: no product listings or purchase orders until activation. We may ask for additional documents.

3. Activation and agreement. You get the decision by email with your supplier code (SUP-XXXXXXXX), your permanent identifier on the network. Your account starts on the Essential plan. Then accept the Supplier Account Agreement in the Documents section of your portal: it is shown in French first, with English on request. Until you accept it, your catalog is not offered to business clients and you cannot confirm purchase orders; you can already prepare your products.

4. Build your catalog. Products, descriptions, prices, pack sizes, stock, lead times and accurate weight per unit.

5. Receive purchase orders. Every new purchase order is emailed to you and appears in your portal.

3.What to have ready

  • Your Quebec enterprise number (NEQ), legal name and operating names
  • Your GST and QST registration numbers
  • Commercial general liability insurance of at least $1,000,000 (product liability required for food, produce and consumable goods)
  • Optional, but speeds up review: certificate of incorporation, declaration of registration or enterprise register extract (PDF, JPG or PNG, 5 MB maximum each)
  • Your catalog with accurate weight for each product, pack sizes and lead times
  • The ability to fulfill purchase orders and hand them to the ODA network within agreed lead times
Why weight is required: it is used to calculate the oversize surcharge (over 25 kg) billed to the business client automatically. You never see that surcharge on your payout.

4.Plans and commissions

6.Your supplier portal

  • Products: catalog, prices, pack sizes, weight, stock and availability.
  • Purchase orders and orders: receive, confirm and track fulfillment.
  • Pickups: schedule handoffs to the ODA network.
  • Invoices and receivables: payment status and statements.
  • Analytics: order volume, top products and trends.
  • Messages and documents: conversations with the OCSAPP team and your business documents.

7.Claims and chargebacks

Purchase order issues (shortage, damage, defect, incorrect fulfillment) follow the Returns & Refund Policy, Track B (business).

  • Claim window: the business client has 48 hours from delivery to report an issue.
  • Determining the cause: photos taken at your dock and at delivery.
  • Issue on your side: the claimed value and reverse-logistics fee are deducted from your next payout, itemized in your portal.
  • Issue that happened in transit: no charge to you.
  • Disputes: 5 business days to dispute from your portal, with your evidence.

8.French labelling

Since June 1, 2025, descriptive terms tied to a trademark (flavour, ingredient) must appear in French on the product, even if the trademark stays in another language. A transition period runs until June 1, 2027 for products made before June 1, 2025. This matters most for food, beverage and personal care products. You are responsible for compliance before listing a product.

Products not accepted for now: Quebec law sets the duration of the legal warranty of good working order for certain new goods (ranges, refrigerators, freezers, dishwashers, washing machines, dryers, televisions, desktop computers, laptop computers, electronic tablets, cellular telephones, video game consoles, air conditioners and heat pumps). Until OCSAPP can display that warranty, these goods cannot be listed on the platform (Section 6.2A of the Supplier Account Agreement).

9.Founding Partner Program

Reserved for the first 15 activated suppliers, automatically on activation, as long as the cohort isn't full:

  • Prestige rate locked for 6 months from the day you accept the Supplier Account Agreement: 5% commission, $0 monthly fee (normally $79/month)
  • Free catalog setup and a permanent Founding Partner badge
  • A $150 milestone bonus when you fulfill 10 purchase orders in the 30 days after you accept the agreement
  • A $75 referral bonus for you and for each supplier you refer who fulfills 5 purchase orders in the 30 days after it accepts its own agreement, up to 5 referrals (your code is on your dashboard)
When the 6 months end, the account moves to the Essential plan (8%); you can switch plans at any time after that. Spots remaining: ocsapp.ca/founding.

10.Frequently asked questions

Who delivers the orders?
OCSAPP's ODA network picks up from your dock and delivers to customers; you don't arrange any transport.

How do I get paid?
On terms agreed at onboarding (typically net-30), after the purchase order's fulfillment is confirmed. Invoices and payment status are in your portal.

Can I use a different email than my invitation?
Not during beta: the waitlist invitation only works with the address it was sent to. If the OCSAPP team sent you a direct supplier invitation, you can use any address.

How are disputes resolved?
First through good-faith negotiation. If unresolved within 30 days, a dispute may be submitted to the courts of the judicial district of Montréal. No mandatory arbitration.
